Responsibilities:

  • Provide administrative support to warehouse personnel.
  • Manage the flow of emails so as not to interrupt the workflow and delay shipments.
  • Plan, coordinate and schedule shipments.
  • Work with carriers/brokers to ensure that all orders are scheduled and picked up according to ship dates.
  • Ship prepaid orders ensuring the cost-effective method.
  • Data maintenance/ M3 Cloud –Record any shipping related inventory transactions in a timely and accurate manner.
  • Generate various daily reports (Shipping Schedule, Open Orders Report, etc.).
  • Develop and document Standard Operating Procedures (SOPs) for position.
  • Assist Customer Service Representatives with order/ inventory related matters.
  • Identify process inefficiencies and make recommendations for improvements.
  • Manage and file shipping documents.
  • Records operational data into relevant systems, generating reports on key metrics.  
  • Maintains accurate operational documentation.  
  • Acts as a liaison between operational teams, management, and other departments, communicating updates and addressing any issues that arise.  
  • Provides administrative support to manufacturing team.  
  • Maintain filing systems and databases.  
  • Assist in daily office management tasks, as needed.  
  • Support senior leaders and other colleagues, as needed.  
  • Maintain housekeeping and lean manufacturing standards.  
  • Identify quality issues, attain established productivity standards. 
  • Understand and adhere to safety policies and procedures. 

Education and/or Work Experience Requirements:

  • High School Diploma or GED equivalency required.
  • A minimum of 5 years of administrative experience required.
  • Basic computer skills required.
  • Proficiency in Microsoft Office, including Word, Outlook, PowerPoint and Excel and knowledge in or ability to quickly learn other computer applications.
  • Ability to operate independently in a fast paced environment
  • Excellent interpersonal relation skills.
  • Must possess excellent organizational skills.
  • Ability to operate in a self-directed environment and complete tasks on time and thoroughly as assigned.
  • Ability to communicate effectively to cross functional teams.
  • Strong attention to detail.

Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to talk, listen and speak clearly on telephone.
  • Must be able to maneuver around and work safely in a production environment.
  • Must be able to wear required safety equipment.
